Create a Search

How to create basic and advanced searches in Handle CRM.

Basic Search

  1. Click on the quick-nav search tab you created.
  2. Click + “Add New.”
  3. You can scroll through the menu of available “entities/record types,” such as inventory, call, or account. Or you can type a keyword into the filter box to find the type of search you want to perform.
  4. Select the appropriate option and click to select the search type you want to create.

Setting Up the Search

  1. Click the + below the advanced search filter in the upper left corner.
  2. A dropdown will show you the types of fields/data points available to us as filters in your search.
  3. Scroll to find what field/data point you need to filter by, or use the keyword search.
    1. Be aware that some filters will have a dropdown menu with specific options, or data/time selectors, or freeform text options. The behavior of the search field depends on how the field/data point has been configured in the system.
  4. Click on the appropriate option from the menu, and that search will be added to your filter pane on the left.

Note that searches with additional dropdown menus for preset sets of data will have an arrow next to the name.

Defining the Search

Choose the data you want to include in your search by clicking on the icon at the right. A list of filter options will appear.

For example, if under the “Account Number” filter, you choose “>> starts with” and enter 2, 6, and 905, the system will display all the accounts whose account numbers begin with those three numbers.

       

The default view is “Activity,” which sorts accounts by date of the latest activity.

To switch views, simply select the view you want to see. For example, “Grid” view is the most commonly used and will sort the data by account number.

Adding search parameters will stack the filtering and narrow your results. If you add “Class = A,” you will get only the accounts starting with “2, 6, and 9” that are also class A.

Advanced Search

Search Parameters

There are three types of parameters menus for advanced search filters: standard, calendar/date, and numerical.

Standard search parameters include:

  • != Exclude: You are filtering results that do not have the words or classifications you entered into the field.
  • = Equal: You are filtering results that have the words or classifications you entered into the field.
  • (..) Contains: Lets you filter anything that contains any part of what you type into the field.
  • (!..) Does not contain: Lets you see anything that does not contain any part of what you put into the field.
  • !>> Does not start with: Use this option to see results that do not begin with your input.
  • >> Starts with (Default Option): Lets you see results that do begin with what you indicated in the filter field.

Numerical search parameters include:

  • != Exclude: You are filtering results that do not have the words or classifications you entered into the field.
  • < Less than: See all values that are less than the number you typed into the field.
  • <= Less than, equal: See all values that are less than or equal to the number you typed into the field.
  • = Equal: (Default Option) You are filtering results that have the words or classifications you entered into the field.
  • > Greater than: See all values that are greater than the number you typed into the field.
  • >= Greater than, equal: See all values that are greater than or equal to the number you typed into the field.

Calendar/Date search parameters include:

  • != Exclude: You are filtering results that do not match the exact date/time(s) you entered into the field.
  • < Less than: See all records with dates that are more recent than the date/time you enter into the field.
  • <= Less than, equal: See all records with dates/times that match OR that are more recent than the date/time you enter into the field.
  • = Equal: You are filtering results that match the exact date/time(s) you entered into the field.
  • > Greater than: See all records with dates/times that are older than the date/time you enter into the field.
  • >= Greater than, equal: See all records with dates/times that match OR that are older than the date/time you enter into the field.
  • After X days from today: See all records with dates/times that are YOUNGER than [X] days from “Today’s” date.
  • Before X days from today: See all records with dates/times that are OLDER than [X] days from “Today’s” date.
  • Next X days: See all records with dates/times that are [X] days in the future from “Today’s” date.
  • Prev X days: See all records with dates/times that are [X] days in the past from “Today’s” date.
  • [..] Range: Filter date/time-based on preset date/time filters logic:
    • Current year
    • Current month
    • Current week
    • Future
    • Next 7 days
    • Next month
    • Next week
    • Past
    • Previous 7 days
    • Previous year
    • Previous month
    • Previous week
    • Today
    • Tomorrow
    • Yesterday

You can Add, Clear, or Remove Parameters in the Filter bar. You can also add multiple filters to a Search.
