Audit User Data
How to build lists of users and audit data in active user accounts in Handle CRM.
To perform these functions, you first need to build a list of users. In this section, you’ll learn how to do that, how to export the list, and how to check the last login date for users.
Build a List of Active/Inactive Users
- Perform a search for all users.
- Toggle between Active or Disabled users to refine your list.
Perform an Audit on the Data
An audit allows you to see any data that’s missing for any user. It also allows you to filter by, say, Record Manager type or Branch, to identify users in different locations or with specific permissions.
To perform an audit on user data, you may create columns for any criteria you want to review. Here are the columns we recommend:
- Last Login Data
- License Type
- First Name
- Last Name
- Record Manager Type
- Branch/Location
- Loginid
- Salesperson #
- Deere RACF ID
- Active
- Mobile
- Exchange Sync Email - email used for Microsoft Exchange
All of these criteria correspond to data in the user Profile and Security tabs. Activity permissions can’t currently be pulled into the grid.
We generally put the Last Login Data column first and sort by it, but you can sort the list by any column. Click on any column heading, and the list will sort by that criteria.
Export a List of Users
- Perform a search to create a list of the users who fit your criteria.
- Above the list, check the “Select all” checkbox, or select the individuals you want to download.
- Click “Actions” at the top of the page, and select the file type you prefer: Excel, Download PDF, or Preview PDF. If you download an Excel sheet, you can continue to filter the data to complete your audit (above).
- The file will download automatically.
See the Last Login Date for All Users
When viewing a list of all active users, the “Last Login Date” column displays the last date the user logged into the Handle system, whether through single sign-on or manual login.
