Off Rentals

How to mark a Product on a Contract as off rent in Texada Web.

Quick Reference

  • The off rental feature for Contracts in Texada Web allows you to pause billing on a Product without closing and reopening its parent Contract.
  • To set a Product on a Contract as off rent in Texada Web:
    • Open the Contract you’d like to edit and scroll down to the Products tab.
    • Click the three vertical dots next to the Product you’d like to edit, then select “Off Rent”. 
    • Enter the details for the off rental, then click “Approve Off Rent”.

Introduction

The off rental feature for Contracts in Texada Web allows you to pause billing on a Product in the case that the client is unable to make use of it for part of the rental period - for example, during a rainy period or if the equipment needs repair. This helps you cultivate customer goodwill and gives you an easy way to pause and resume billing on a Contract without closing and reopening it.

Set a Product as Off Rent

To set a Product on a Contract as off rent in Texada Web:

  1. Open the Contract you’d like to edit and scroll down to the Products tab.
  2. Click the three vertical dots next to the Product you’d like to edit, then select “Off Rent”.
  3. Enter the details for the off rental, then click “Approve Off Rent”. For more details on the contents of the Off Rent window, see “Off Rent”.

Off Rent 

This window allows you to enter the details of the off rental.

  1. Contract #
    The number of the Contract from which the Product is being taken off rent.
  2. Off Rent / On Rent Dates
    The start and end date of the off rental period. The first date, the off rent date, marks the beginning of the off rental period. The second date, the on rent date, marks the end of the off rental period. If the length of the off rental period is unknown, leaving the on rent date blank will allow it to be set later.
  3. Off Rent Months / Weeks / Days / Hours
    The length of the off rental period expressed in months, weeks, days, and hours. Edit the values in these fields to re-calculate the on rent date above. For example, if May 15, 2024 is selected as the off rent date, entering “2” into the “Months” field will generate an on rent date of July 15, 2024.
  4. Reason
    Use the drop-down to select a reason for the off rental. Off rental reason codes are managed in Texada SRM, at System Maintenance → Configure System Settings → Operations → Off Rental Reason Codes
  5. Product
    The Product to be taken off rent for the period specified. Use the “Qty” field to adjust the quantity of the Product being taken off rent.
  6. Comment
    Click the “Add Comment” button to leave an additional comment on the off rental. Once a comment has been left, click the pencil icon to edit it, or the bin icon to delete it.
  7. Cancel Button
    Click to cancel the off rental.
  8. Approve Off Rent Button
    Click to approve the off rental.
