iQuote: Automatic Quote Summary Email Drafting

A powerful new feature has made its way on to Texada iQuote: the ability to generate quote summary emails with the click of a button! 

This feature leverages artificial intelligence to generate accurate, professional, and comprehensive quote summary emails using existing quote and equipment brochure information. From the Send Email screen, simply click the new “Generate draft” button to draft an email in a matter of seconds. 

Emails generated in this way will contain a summary of the machine’s benefits as well as key figures from the quote document, including the quote itself and the estimated delivery time.

Set Up

In order to generate a smart email draft for a quote, the following criteria must be met:

  1. The quote’s configuration status must be completed. In other words, a detailed quote document must exist that the system can use to generate an email.
  2. A brochure document must exist for the model you are quoting. Brochures can be added to models under Model Config → Model Admin → Media Library. A new “Use for Smart Features” checkbox has been added to this table. When generating quote emails, the first document in the media library for which this checkbox is checked will be used as a source of information.

    If you don’t have a brochure for the specific model you are quoting, the brochure of the base model will be used.

If you receive a “Token limit exceeded” error when trying to generate a quote email, try uploading a shorter brochure document. The AI model used in this feature has a processing limit of approximately 96,000 words.

Generate a Quote Email

Once you are ready to generate a quote email, open your quote and navigate to Common Tasks → Send Email. Before clicking the “Generate draft” button, ensure that the “Quote document” checkbox is checked.

You can always edit the contents of the quote email after it has been generated. You can also click the “Generate draft” button again to create a new draft. Because this feature uses generative AI, you can expect slightly different results each time.

AI can make mistakes. Texada highly recommends verifying the contents of generated emails prior to sending.
