Change the Name or Email of a CloudLink User

How to change the name or email address of a CloudLink user in CloudLink Console.

This feature is available to customers using the Texada Identity Service.

Introduction

As of Sales & Service version 2025.0313, it is now possible to update the names and email addresses of existing CloudLink users via the Manage CloudLink Users screen in CloudLink Console. 

This feature allows you to update users’ information in cases where an employee changes their name, or their email address or User Principle Name changes. 

For organizations using an external identity provider (IdP) such as Entra ID to manage Texada accounts:

This feature allows you to update users’ information to match your IdP without creating duplicate user accounts. For example, if a user’s email address is updated in your IdP, you can now update their CloudLink Email to match without creating a whole new user account for the new email address.

IdP vs. Non-IdP

The behavior of the Manage CloudLink Users screen will change depending on whether or not your organization uses an external Identity Provider (IdP), such as Entra ID, to manage Texada accounts.

The following table outlines these differences in behavior.

First Name and Last Name

You can freely change a user’s First Name and Last Name in CloudLink Console. 

Whenever a user logs in to Texada, their First Name and Last Name are updated to whatever is recorded in your IdP. As such, changes made to a user’s name in CloudLink Console will be overwritten the next time the user logs in.

If you want to change a user’s name, do so in your IdP. This change will then be reflected in CloudLink Console.

Email

Changing a user’s Email field in CloudLink Console will change the email address they use to log in. 

Example: If John Doe was using jdoe@company.com to log in and you change his Email to john.doe@company.com, he will now need to enter john.doe@company.com to log in.

If a user’s email address is changed in your IdP, you MUST update their Email field in CloudLink Console to match in order for them to be able to log in.

Example: John Doe was using jdoe@company.com to log in. This address was changed to john.doe@company.com in IdP. John’s Email field MUST be updated to john.doe@company.com in CloudLink Console for him to log in.

User Principle Name (UPN)

The User Principle Name field will not appear.

If your organization uses Entra ID, a special User Principle Name field may appear in the Edit User window if your TIS integration requires it. 

If this field is present, you MUST change a user’s UPN to match whatever is recorded in your IdP for them to log in.

If this field is not present, this requirement does not apply to your organization.

Change a User’s Name or Email Address

To change the name or email address of a CloudLink user, follow the steps below.

  1. Log in to CloudLink Console and select User Management → Users List from the left navigation menu.
  2. Locate the user you’d like to edit and click on their name under the “Login Name” column.
  3. You can now edit the user’s Email, First Name, and Last Name fields as desired, along with the rest of their personal information. Once you are finished, click the “UPDATE” button to save your changes.
