DBS Integration with Texada Rental Management
Overview
Texada Rental Management integrates with Caterpillar’s Dealer Business System (DBS) to streamline rental operations while maintaining DBS as the system of record for financials and master data. This integration keeps customer, equipment, and rental invoice data synchronized between the two platforms, enabling dealers to manage rentals efficiently without disrupting core accounting workflows.
How It Works
Texada Rental Management extends the capabilities of DBS by managing all rental-specific processes—quoting, contracting, dispatching, cycle billing—while DBS remains responsible for financial control and reporting. Data flows are handled through automated API and file exchanges on a scheduled basis.
Typical process:
- Master Data Sync
- DBS exports updated customer profiles and, optionally, equipment details.
- Texada imports these on an ongoing basis to refresh its records in near-real time.
- Daily Rental Operations
- Rental staff use Texada to handle quotes, contracts, returns, and meter readings.
- Charges, taxes, and additional fees are calculated automatically in Texada.
- Billing and Financial Posting
- Texada generates rental invoices for returns and recurring cycle bills.
- Invoices are exported to DBS in a compatible format.
- DBS posts Accounts Receivable (A/R) system if applicable.
- Texada updates invoice statuses to Paid and locks them against edits for financial accuracy.
