Introduction
The Project Dashboard in iMACS is a powerful tool that helps users efficiently manage various aspects of their projects, with specific views and features tailored to different roles within the organization.
To reach this page, select Project → Projects Dashboard from the top navigation menu.
Project Dashboard
Access to the dashboard is controlled by the Admin through configured Security Groups. If you do not see the Project Dashboard in the Projects drop down, contact your Texada system administrator.
The dashboard provides a general overview of the projects shown as a listing of All Projects (owned by anyone on the system) or My Projects (owned by the logged in user).
Features of the Project Dashboard include:
- Filters on All Projects Page: Users can filter projects by various criteria, such as project status, customer, or project manager.
- Reopening Closed Projects: Closed projects can be reopened if needed.
- Activities Outstanding/Completed: These sections display pending and completed tasks for the project.
- Project Schedule: This feature provides a visual timeline of project milestones and deadlines.
- Enhanced Drawing Summary and Transmittals: These sections offer detailed information about project drawings and related communications.
Role-Based Views
The Project Dashboard provides different views and functionalities depending on the user's role. For example, a user with the ‘Credit’ role will see different information than a user with ‘Project Manager’ role. Users who are granted Homepage Exec access will get a dropdown option (‘View As’), which allows them to access another user’s homepage, based on their Security Role.
The various role-based views are as follows:
- Project Manager: This dashboard offers an overview of project status, including key dates, financials, and potential issues.
- Engineer: This view focuses on technical aspects of the project, such as drawings, submittals, and approvals.
- Credit: This dashboard highlights credit approvals, payment milestones, and any outstanding credit issues.
- Freight: This view provides insights into shipping and receiving, including freight costs and logistics.
- Production Shop: This dashboard focuses on production schedules, work in progress, and any production-related issues.
Project Statuses
Use the tabs at the top of the Project Dashboard to view projects by their status: All, Pending, In Progress, Completed, On Hold, and Cancelled. These lists give you a general overview of the number of projects in iMACS.
The below list summarizes the relationships between the various user roles and the project statuses over which they have ownership:
- Sales Rep: When a quote is won, the sales rep changes its status to "WON," which triggers an email to the sales manager. The rep can then create a project. Later, after entering payment information for the stock, the rep changes the project status to "Ready for Approval," which triggers an email to the sales manager.
- Management: During the approval process, management reviews the project, assigns the project team and project manager, and approves the project by changing the status of all items to "In Progress" on the Project Information page. This triggers an email to the project manager.
- Project Manager: The project manager also has the ability to change the status of individual items within the project, such as drawings and BOMs, as work progresses.
- Other Statuses: ”To Be Commissioned" is a project status. This status indicates that the project's Delivery Date has already passed, but the Site Test Date or Last Payment Date is still in the future. Essentially, the project has been delivered but is not yet fully operational or paid for.
