Context
Create a work order when you are at a customer’s site, and notice another work order is needed, for example, if you notice that maintenance is required on an excavator, even though your current work order deals with a scissor lift. This enables you to create another work order that you can move directly to after you complete your current assignment. The ability to create a work order in this case saves you the trouble of having to go back to the yard, and then return to the customer’s site a second time.
Before You Begin
Required: Mobile device with internet connection and mobile application installed, valid FleetLogic account, valid login credentials and access permissions
Steps
To create a work order, do the following:
- In the FleetLogic mobile application dashboard, tap Work Orders
The list of work orders that are assigned to you opens - Tap add
The Select Asset page opens - Do one of the following:
- Tap the Search field and type a keyword related to the asset you are working on, such as the asset name or number
- Tap scan
and do the following to identify the asset you are working on by scanning the asset’s QR or barcode:
- Position the mobile device in such a way to do one of the following:
- Position the red bar over the middle of the barcode so that it covers it end to end
- Position the yellow box so that it completely surrounds the QR code
The barcode or QR code of the asset is automatically scanned and appears in the Search for a customer field - Optional: Tap the Camera toggle to turn the camera view on or off
- Optional: Tap the Flash toggle to turn your device’s light on or off
Notes:- Use the Flash toggle in low-light environments
- The Flash toggle is only available if the Camera toggle is in the on position
- Position the mobile device in such a way to do one of the following:
- Tap the asset you need to work on
The Search for a customer field opens - To add the customer that this work applies to the work order, type a search term in the Search for a customer field, such as the customer name
The list of customers narrows to reflect your search term(s) - Tap the customer that the work order applies to
- Use the customer billing location dropdown to select one of the following:
- Tap Use customer’s billing location if the site the work is being performed on matches your customer’s billing location
- Tap Use custom address and type in the site information if the billing address and work location are not the same
- Tap Next
The assign page opens - Use the Self assign toggle to assign the work order to yourself (on), or add it to the list of open work orders (off)
- Use the Type dropdown to select one of the following work order posting types:
- Internal
- Standard
- Asset Repair
- Customer Damage
Note: See: “About Work Order Posting Types in FleetLogic” for more information on each type - Use the Division dropdown to select the division the work order applies to
- Use the Location dropdown to select the location the work order applies to
- Optional: If there is a purchase order number associated with this work order, type it in the PO # field
- If there are any special instructions or information you need to add to the work order, type them in the Comments field
- Tap Done
- Tap OK
The work order is created
If the work order was self assigned, then it appears in your list of assigned work orders with the Assigned status
If the work order was not self assigned, it appears in the list of open work orders with the Created status
