You can access the Contracts area of RentalLogic by clicking the "Contracts" tab from the left-hand navigation menu. Once selected, you will be presented with a list of all contracts.
Display All Contracts
When navigating to the Contracts page, the default is to load the first 20 contracts, however, you can navigate between pages using the options at the bottom of the page. You can select which columns are displayed on-screen by clicking the "Columns" tab on the far-right or by clicking the hamburger icon in a column then selecting "Tool Panel". You can then select or deselect which columns you want to view on-screen.
You will be able to view the following information in list view:
- contract #
- customer # and name
- date/time out and date/time in
- rental and sales discounts
- purchase order #
- deadline date/time
Search or Filter Results
To narrow down your results further, you can filter using the selector tool, select a date range, or you can perform a text search.
Navigating Within a Column
When you hover over a column, you will see a hamburger icon. Clicking this hamburger menu will give you additional options such as viewing the tool panel, auto-sizing columns, and pinning columns.
Auto-Size Column(s): this feature will allow you to automatically size each column to be as wide as the largest piece of data. This will ensure no columns have information that is "cut off".
Pin Column: this feature will allow you to pin a column to either the left or right. This will ensure that while you make changes, the select column(s) will always appear at your desired location.
Tool Panel: clicking this will open the "Columns" tab which allows the user to select which columns are present on-screen
Once you have the table configured to show the information you need, you can then export it to an Excel spreadsheet or download the information as a .csv file by clicking the "Export" button and selecting your output at the top. This will download the file to your browser's predetermined download location.
View Contract in Detail
To view a contract in detail, simple click on it from the list. When viewing a contract, some tables will be suppressed if there is no information in them, otherwise, the view and create screens will look the same and provide you with the following information:
- document #
- date of creation
- division and location
- rental period (dates as well as time frame)
- customer information (name, address, contact info)
- site information (name, address, contact info)
- rental and sales discount amount(s)
- product information (type, product number, description, daily rate, quantity on hand, and quantity selected)
- selected services (description, rate, and quantity selected)
- purchase order #
- any comments (both internal and customer-facing)
At the bottom of the contract, you will also have the option to Download, Email, and Print.
Upon clicking the "Download PDF" button, a .PDF copy of the contract will be downloaded to your browser's pre-determined Downloads folder.
Upon clicking the "Email" button, you will be prompted to enter a user's email address. An email will be sent to the recipient with a .PDF of the contract attached.
Upon clicking the "Print" button, the contract will open on-screen using your computer's default PDF viewer where you can then choose to print the contract.
Edit a Contract
Once you've navigated to a contract and clicked on it to view in more detail, you can click the EDIT button to enter edit mode. Once in edit mode, you will be able to edit all fields except the document # (i.e. the contract #) and the date, as both fields are captured at time of creation.
