This feature is currently enabled for all CloudLink customers.
COTI has the ability to automatically recalculate checklists for open deals whenever the master checklist is modified. This feature is now receiving two updates:
- A customizable lookback period has been added to limit the number of deals affected by the nightly updates.
- A number of UI improvements have been made to make it easier to tell when checklist updates are being triggered, and how many deals are being affected by these updates.
The Checklist Screen
As of this update, the “Recalculate Checklist” button has been removed from the Checklist screen. Replacing this button is a label containing the following information:
- The date on which the master checklist was last modified;
- The number of deals whose checklists will be affected by the next nightly update.
When you modify the master checklist by adding, editing, or removing a checklist item, the checklists of all open deals that were entered or modified within the defined lookback period will be recalculated automatically to reflect the changes you made. As a reminder, a deal is considered open as long as at least one of its checklist items is outstanding.
When adding or editing a checklist item, a notification at the top of the screen will remind you of the current lookback period. This period defaults to 90 days and can be modified via the new “Lookback period for recalculate COTI checklist” configuration key.
Before saving changes to a new or existing checklist item, you’ll also receive a notification letting you know how many open deals will be affected by the change:
Which deals are affected?
When determining whether or not a deal’s checklist should be updated, the system looks at three separate dates:
- Enter Date: The date on which the deal was created.
- Change Date: The date on which the deal was last manually modified by a CloudLink user.
- ERP Change Date: The date on which the deal was last modified via a system (ERP) update.
If any of these three dates fall within the lookback period, the deal’s checklist will be recalculated.
When you are editing a deal whose dates fall outside of the current lookback period, the following message will appear near the top of the screen: “This deal’s checklist is out of date from current settings. Makings changes will cause checklist to recalculate.” This message indicates that any changes you make to the current deal will cause its checklist to be affected by the next nightly update.
Configuration Key
This update adds one new configuration key to CloudLink Console: Lookback period for recalculate COTI checklist, or ckglobal.Checklist.Recalculate.LookbackPeriod.
This configuration key allows you to adjust the number of days within which a deal must have been entered or modified in order to receive automatic checklist updates. 90 is the default value.
- If this value is left empty, ALL open deals will be recalculated whenever the master checklist is modified.
- If this value is set to 0, NO deals will be recalculated whenever the master checklist is modified. Deals will be only be recalculated when updated directly in COTI.
