How to activate the Texada Identity Service (TIS) for rental systems.

Introduction

The information in this document is intended for IT managers and other administrators responsible for migrating their organization to TIS. For more general information about TIS aimed at regular Texada Web and Texada SRM users, please see “About The Texada Identity Service”. 

The Texada Identity Service (TIS) is a new service designed to improve your login experience by allowing users to access all of their Texada solutions using a single set of credentials. It is currently being rolled out for a number of products including Texada SRM and Texada Web, and will eventually be supported by Texada’s entire product suite.

The following article provides instructions for IT managers to successfully transition their organization to TIS.

How Do I Activate TIS For My Organization?

Please contact Texada support once you are ready to transition to TIS. This will enable us to complete our configurations in a timely manner as well as provide assistance with the migration.

The process of switching over to TIS depends on whether or not your organization uses an external identity provider (IdP) such as Microsoft Entra/Azure to manage Texada accounts. Use the buttons below to jump to the guide relevant to your organization.

If your organization is using Texada's native authentication system, the process of transitioning to TIS will involve sending each Texada Web user a welcome package prompting them to activate their account and set a new password.

The current method of authentication will be deprecated in the coming months, and non-TIS logins will cease to function. For this reason, it is imperative to complete this transition as soon as possible. Please read the below instructions carefully and contact Texada support if you need assistance. 

1. Activate Your TIS Account

Before migrating your users to TIS, you will need to activate your own TIS account. To do this:

  1. Contact Texada support with a request for a TIS welcome package. The purpose of this request is to let Texada know that you are ready to start implementing TIS and to confirm your identity as the IT manager responsible for migrating the other users at your organization.
  2. Texada will forward you your TIS welcome package, including an account activation email and a password reset email. Follow the instructions in these emails to activate your TIS account. 

The links in the account activation and password reset emails will expire after 5 days, so make sure to open these emails and activate your account as soon as you receive them!

2. Migrate Users

Migrating an existing Texada Web User to TIS is simple. 

  1. Confirm that the user has a valid email address.
    Confirm that the user’s Texada Web account includes a valid email address. Because TIS authenticates users using their email address, each user in your system must have a valid email address in order to use TIS.
  2. Send the user a welcome package.
    Send the user a welcome package from Texada Web containing an account activation email and a password reset email.
  3. The user activates their account and sets a new password.
    Once the user receives these emails, they follow the included instructions to activate their TIS account and set a new password.
  4. Verify that the user has migrated successfully.
    Once the user has activated their account, the “Resend Welcome Email” button will no longer appear for them, allowing you to confirm that they have been migrated successfully.

If your users have access to multiple Texada environments (such as Play and Production or multiple organizations), you will need to send out welcome packages for each environment separately.

You can send out welcome packages from two different locations in Texada Web:

  • The User List
    Open Texada Web and navigate to the User Menu (click on your name in the top-right corner of the screen) → Company Settings → Users. The “Email Verification” column of the user list will contain a series of buttons that read “Resend Welcome Email”. Use these buttons to quickly send welcome packages to multiple users.
  • The Edit User Screen
    From the User List, click on a user’s name to open the Edit User screen. A “Resend Welcome Email” button will be visible under the user’s email in the User Info panel. Click this button to send a welcome package to that user.

3. Confirm that Users have been Migrated

Once a user follows the instructions received in their welcome package, the “Resend Welcome Email” button will disappear both from their Edit User page and from their row in the User List:

This is your indication that the user has successfully migrated to TIS. Please note that the user may still need to set a new password.

Account activation is tied to the user’s email address. This means that if you change a user’s email address, the “Resend Welcome Email” button will reappear, and the user will need to go through account activation again with the new email address.

Using an IdP

If your organization uses an external identity provider (IdP) such as Microsoft Entra / Azure to manage Texada accounts, you will need to configure your IdP to communicate with TIS. Refer to the guides below for more information on how to set up your IdP, and please do not hesitate to reach out to Texada support with any questions.

Before proceeding with configuring your IdP, please note that TIS authenticates users using their email address, and that each user in your system must have a valid email address in order to use TIS. Because of this, it is recommended to verify the email addresses of your rental users before activating TIS.
