How to activate the Texada Identity Service (TIS) for rental systems.

The information in this document is intended for Texada system administrators responsible for migrating their organization to TIS. For more general information about TIS aimed at regular Texada Web and Texada SRM users, please see “About The Texada Identity Service (Rental)”. 

Migrating to TIS is a relatively simple process similar to resetting your password. Depending on the number of users in your system, it should only take about 30 minutes to complete.

We recommend letting your users know this change is coming, and setting aside some time to ensure everyone has migrated successfully.

Introduction

The Texada Identity Service (TIS) is a new service designed to improve your login experience by allowing Users to access all of their Texada solutions using a single set of credentials. It is currently being rolled out for a number of products including Texada SRM and Texada Web, and will eventually be supported by Texada’s entire product suite.

The following article provides instructions for Texada system administrators to successfully transition their organization to TIS.

How Do I Activate TIS For My Organization?

Please contact Texada support once you are ready to transition to TIS. This will enable us to complete our configurations in a timely manner as well as provide assistance with the migration.

The process of switching over to TIS depends on whether or not your organization uses an external identity provider (IdP) such as Microsoft Entra/Azure to manage Texada accounts. Use the buttons below to jump to the guide relevant to your organization.

                                    

Using Texada Accounts

For organizations that use Texada’s built-in user management system, the process of transitioning to TIS involves sending each Texada Web User a welcome package prompting them to activate their account and set a new password.

1. Activate Your TIS Account

Before migrating your Users to TIS, you will need to activate your own TIS account.

  1. Your Texada support representative will contact you with a TIS welcome package, including an account activation email and a password reset email. Watch your inbox for these emails, and contact Texada support if you do not receive them.
  2. Open the email with the subject “Verify your email” and click “Verify my account” to confirm your email address.

    Upon a successful verification, you will see the following screen. You can now close this screen and proceed to the next step.
  3. Open the email with the subject “Reset your password” and click “click here” to reset your password.
  4. Follow the on-screen instructions to set a new password for your TIS account. Upon successfully resetting your password, you will see a “Password Changed!” screen.
  5. You are now ready to log in with TIS using the email address and password established in the steps above.

The links in the account activation and password reset emails will expire after 5 days, so make sure to open these emails and activate your account as soon as you receive them!

2. Migrate Users

Migrating an existing Texada Web User to TIS is simple. 

  1. Confirm that the User has a valid email address.
    Confirm that the User’s Texada Web account includes a valid email address. Because TIS authenticates Users using their email address, each User in your system must have a valid email address in order to use TIS.
  2. Enable the User’s “SSO Migrated” toggle.
    Open Texada Web and navigate to the User Menu (click on your name in the top-right corner of the screen) → SettingsCompany Settings → Users. Here you will see a new column labelled “SSO Migrated” with a toggle for each User. To invite a User to TIS, enable this toggle. This will send them a welcome package identical to the one you received in step 1. The User is now responsible for opening these emails and verifying their account.
  3. Ensure multi-factor authentication is enabled for the User.
    In order for a User to log in with TIS, multi-factor authentication must be enabled. To do this, click on the User’s name from the User List page, then enable the “Multi-Factor Authentication” toggle. The User will be asked to set up a secondary authentication method the next time they log in.
  4. The User can now log in with TIS.
    Once the User has activated their account, reset their password, and set up multi-factor authentication, they will be able to log in using TIS.

3. Resend Welcome Packages

If a User cannot locate their welcome package, or if it expires before they have a chance to migrate, you can resend it from the User Settings page. 

  1. Open Texada Web and navigate to the User Menu (click on your name in the top-right corner of the screen) → SettingsCompany Settings → Users. Locate the User whose welcome package you’d like to resend on click on their name to open the User Settings screen.
  2. Click the “Resend Verification Email” button to send that User a new welcome package.

4. Confirm that Users have Migrated

Once a User has successfully logged in using TIS for the first time, the “Resend Verification Email” button on their User Settings page will disappear. This is your indication that the User has successfully migrated to TIS.

5. Migrate Users in Multiple Environments

TIS activation is based on email address. Once a User has received their welcome package and verified their account, their email address will remain activated permanently.

If a User has access to multiple environments - for example, a Play environment and a Live environment - they only need to go through the verification process once. After that, simply enabling the “SSO Migrated” toggle in a new environment will instantly give the User access to that environment.

If a User’s email address is changed, they will need to go through the verification process again for the new address.

Using an IdP

If your organization uses an external identity provider (IdP) such as Microsoft Entra / Azure to manage Texada accounts, you will need to configure your IdP to communicate with TIS. Refer to the guides below for more information on how to set up your IdP, and please do not hesitate to reach out to Texada support with any questions.

Before proceeding with configuring your IdP, please note that TIS authenticates Users using their email address, and that each User in your system must have a valid email address in order to use TIS. Because of this, it is recommended to verify the email addresses of your rental Users before activating TIS.
