Manage Events in Service Agreement Quoter

How to use the Event Types, Flat Rate Exchange, and Standard Jobs tools to manage Events in Service Agreement Quoter.

Quick Reference

  • Building a Quote in Service Agreement Quoter involves adding Events - representing various maintenance jobs - to pieces of equipment. Before an Event can be added to a piece of equipment, it needs to be added to SAQ, which generally means importing it from your ERP system and enabling it as a Standard Job Event or Flat Rate Exchange.
  • SAQ features five different administrative tools for managing Events:
    • Event Types: Allows you to manage Event Types, which function as filters that control which Events are brought into SAQ from your ERP system.
    • Standard Jobs: Allows you to enable and disable Standard Job Events by equipment make, model, and serial number.
    • Flat Rate Exchange: Allows you to manage Flat Rate Exchanges (Events not linked to a specific model or serial number).
    • Additional Events: Allows you to create Additional Events - Events custom-built in SAQ with no connection to your ERP system.
    • Packages: Allows you to build Packages containing multiple Standard Job Events and Additional Events.
  • To add an Event that is not yet present in SAQ to a Quote:
    • Import Events from your ERP: Use the Event Types tool to create an Event Type whose SMCS codes match your desired Event. 
    • Enable your Event: Do one of the following:
      • Standard Jobs: Use the Standard Jobs tool to enable your Event as a Standard Job Event for the desired equipment make, model and serial number range.
      • Flat Rate Exchanges: Use the Flat Rate Exchange tool to enable your Event as a Flat Rate Exchange.
    • Add your Event to a Quote: Once an Event has been enabled as a Standard Job or Flat Rate Exchange, it can be added to eligible pieces of equipment when a Quote is being created or updated.

Introduction

When creating or editing a Quote in Service Agreement Quoter (SAQ), you may find that one or more of the Events you want to add to a piece of equipment are missing from its Event List. 

This is because the Events available in SAQ are a subset of the Events available in your ERP system. SAQ features a number of administrative tools that give you tight control over which Events can be applied to each piece of equipment. In order to start building out Quotes in SAQ, you will first need to configure your Events. 

The following article will detail how to manage Events in SAQ.

Event Management Overview

SAQ features five different administrative tools for managing Events: 

  • Event Types: Allows you to manage Event Types, which function as filters that control which Events are brought into SAQ from your ERP system. This filtering is performed using Caterpillar SMCS codes. Matching Events can be brought in either as Standard Job Events, Flat Rate Exchanges, or both.
  • Standard Jobs: Allows you to enable and disable Standard Job Events by equipment make, model, and serial number.
  • Flat Rate Exchange: Allows you to manage Flat Rate Exchanges (Events not linked to a specific model or serial number).
  • Additional Events: Allows you to create Additional Events - Events custom-built in SAQ with no connection to your ERP system.
  • Packages: Allows you to build Packages containing multiple Standard Job Events and Additional Events.

The below diagram illustrates the basic relationship between these administrative tools: Event Types pulls in Events from your ERP system either as Standard Job Events or Flat Rate Exchanges. Additional Events, meanwhile, are created directly in SAQ. Standard Job Events and Additional Events can be bundled together into Packages. All these types of Events can then be added to Quotes.

Add an Event not yet in SAQ to a Quote 

If you are building out a Quote in Service Agreement Quoter and the Event you would like to add to a piece of equipment is not appearing, you will need to add that Event to SAQ first. The steps below outline a process for adding an Event to SAQ, then adding that Event to a Quote.

  1. Create a New Event Type
    Event Types can be thought of as a series of filters that control which Events are imported from your ERP system.

    To access the Event Types screen, log in to Service Agreement Quoter and click the gear icon in the top-right corner of the screen. Then, select “Event Types” in the left navigation menu.

    Click the “Add Type” button in the top-right corner of the screen to add a new Event Type. You will need to input at minimum a name, Category, Job Code, Component Code, and Sort Order value. The Job Code and Component Code are Caterpillar SMCS codes that determine which Events will be imported from your ERP system. Additional SMCS codes - Modifier, Business Group, etc. - can also be used, but are not mandatory.

    The “Apply To:” checkboxes control whether Events matching this Event Type will appear on the Standard Jobs screen, the Flat Rate Exchange screen, or both. Check at least one of these checkboxes to ensure your Events are usable.

  2. Enable your Event
    Once you have created your new Event Type, the Standard Jobs and/or Flat Rate Exchange screens will be populated with Events matching the selected SMCS codes. These Events must be enabled via their respective screens in order to be usable:
    1. Standard Jobs
      The Standard Jobs screen controls which Standard Job Events are enabled for each equipment make, model, and serial number range combination. To reach this screen, click the gear icon in the top-right corner of SAQ and select “Standard Jobs” in the left navigation menu.

      Equipment is organized first by family, then by make, model, and serial number range. Click on an equipment family to see models and serial ranges, then click on a model and serial range to view its associated Events.

      To enable an Event for a particular model and serial range, check its “Enabled” checkbox. Once you are finished, click the Save button to save your changes.

    2. Flat Rate Exchange
      The Flat Rate Exchanges screen allows you to manage Flat Rate Exchanges - Events not tied to a particular make, model, or serial number range. To reach this screen, click the gear icon in the top-right corner of SAQ and select “Flat Rate Exchange” in the left navigation menu.

      Click on a Flat Rate Exchange to view its available Events, then check an Event’s “Enabled” checkbox to enable it. Once you are finished, click the Save button to save your changes.
  3. Add Your Event to a Quote
    Once an Event has been imported into SAQ via Event Types and enabled via either the Standard Jobs screen or the Flat Rate Exchange screen, it can be added to a Quote. 
    1. Access the Quote Details screen of the Quote you’d like to edit, either by creating a new Quote or opening an existing Quote from the Quote List page. 
    2. Click on the serial number of the piece of equipment you’d like to edit in the left navigation menu to open its Equipment Details screen.
    3. Scroll down to the Event List panel and click the “Edit Events” button to edit the Events for that piece of equipment.
    4. The Events you have enabled for the make, model, and serial number range of the piece of equipment you are editing will now appear in the Event List. To add occurrences of the Event to the Quote, edit the number under the “# Occurrences” column.
